Team collaboration software – do I really need it?

A cornerstone of CompassAir when we first started, our collaboration software is used by ship owners, managers and shipbroking clients, ranging from recognised world leaders through to the smallest, most dynamic independent companies, in all the major maritime centres throughout Europe, the US and Asia. In this article we look at the reasons why organisations choose this type of software solution.
What is it? Team collaboration software is the key to unlocking productivity and efficiency. It enables the sharing, processing and management of data, documents and files between team members. Put simply, it makes communication transparent, allowing teams to work together on joint projects and share resources. Group email (group mail) is simply where a group of people have their own email address, and whenever an email is sent to that address everyone in the group has access to that email. What this means is that by using faster, more efficient, more effective collaboration tools, significant value can be realised. The right software allows you almost instant access to the files and information you need. 2 Working alone or as a team?
Generic email software, such as Outlook or Gmail, is simply a way of managing messages. Many incorporate valuable tools such as calendars, tasks, rules, archiving, flags and reminders. However, when it comes down to it, you are on your own. How well you deal with those hundreds or, in the case of many companies, thousands of emails a day depends on how sophisticated a user you are, often how well you have adjusted and taught yourself to use software that was designed to be a jack of all trades.

3 Organisation
By investing a little time in setting up and getting organised at the start will pay dividends later. You can use departmental mailboxes, automate what happens to an email on receipt, file emails in conveniently labelled folders according to pre-defined rules, using for example keywords, and generally see through the fog of emails.
